For sales and operations

A cleaner foundation for everyday CRM work

Inconsistent company names, mixed date formats and incomplete fields create unnecessary review work. We help B2B teams clean a defined CRM export or approved workspace using rules you can inspect. The goal is usable records and traceable changes, not a claim that every contact is current, valid or ready for outreach.

Deliverables

A reviewable data-cleaning pack

  • A field map and agreed normalisation rules for the selected export.
  • Duplicate candidates with the reason for the suggested match.
  • A cleaned working file that preserves stable record identifiers.
  • An exception sheet for conflicting, missing or unverifiable values.
  • A change log and import checklist; any live import is separately agreed.
Illustrative example

Similar names are not enough to merge records

Fictional sample: “Northbridge Ltd” and “Northbridge Limited” share a website but have different addresses. We flag a possible match, record the evidence and ask which address is current. We do not silently merge organisations or delete history. Date formats can be standardised under an agreed rule; an absent date remains absent.

A controlled pilot

Start from one export

Indicative pilot budget: from €590 for up to six total working hours, excluding applicable taxes. Start with one source file, one field map and a limited sample. Volume is agreed after inspecting complexity; research, setup and checking count toward the budget.

Larger batches, CRM migrations, API integrations and ongoing maintenance receive separate proposals. Recurring support can be planned from €1,490 per month for up to 15 hours, subject to scope and available capacity.

Acceptance and safeguards

Keep a path back to the source

  • Agree which fields may change and which must remain untouched.
  • Keep the source export, stable identifiers and proposed changes separate.
  • Review ambiguous matches before any merge or deletion.
  • Check a representative sample and key field totals before approving import.
  • Use approved access and retention arrangements; do not send sensitive exports with the first enquiry.

We do not sell scraped personal contact lists or treat a cleaned record as consent to marketing. Your team remains responsible for lawful collection, use and outreach decisions.

Questions before you start

Practical answers

Do you support a specific CRM?

We assess your export format and workflow first. Working with an agreed CSV or spreadsheet is often a practical starting point; direct system work depends on access and technical fit.

Can every duplicate be removed automatically?

No. Similar records may represent different people, branches or legal entities. Ambiguous cases need review and must not be presented as certain matches.

Will you enrich every missing field?

Only fields and approved public or supplied sources agreed in the scope. Unknown values stay flagged; private or unverifiable information is not invented.

Start with a defined task

What would you like to take off your backlog?

Tell us the task, approximate volume, current system and target date. We will check fit and propose a written scope before any work begins.
