Documentation & business operations

Turn everyday know-how into a process your team can follow.

Turn recurring administrative and service work into clear operating procedures, checklists and handovers. Start with a defined scope, named decision owners and a sample workflow that can be reviewed.

Your starting point

Where this service makes a difference

Important knowledge often lives in individual inboxes, conversations or outdated files. Cover, onboarding and growing workloads expose the gaps: which document is missing, who decides an exception and when is a case complete? A useful procedure answers those questions where the work actually happens.

Suitable starting points include receiving a customer enquiry, preparing a proposal pack, maintaining a CRM record or handing over a completed case. We start with one recurring workflow. A company-wide operating manual or certification programme is a separate engagement.

The handover

What you receive

  • A process overview showing the trigger, output, participants and systems.
  • A step-by-step procedure with required inputs and quality checks.
  • A short execution checklist for everyday use.
  • An exception list separating routine work from decisions that need escalation.
  • A versioned handover with change notes and a named process owner.

The proposal specifies the document format, working language, review round and delivery scope. You can review the draft before the agreed final handover.

A practical example

ILLUSTRATIVE SAMPLE · NOT A CLIENT RESULT

Starting point

An enquiry is forwarded by email. Attachments are missing, ownership is unclear and the current status is buried in a message.

Prepared output

Sample procedure “Receive an enquiry”: 1. Assign a case ID. 2. Record location and service type. 3. Check the required documents. 4. Mark missing information as an open task. 5. Record the owner and next review date. Unclear pricing remains a decision for the responsible person.

How we work

Four steps from brief to handover

01

Brief & sample

We review the task, source material and desired result.

02

Scope & responsibilities

We agree outputs, time budget, access and the person approving the work.

03

Draft & expert review

We prepare the working version and keep open questions visible.

04

Handover & next step

You receive the agreed files and a clear list of anything still unresolved.

Your contribution

What we need from you

An existing description or a walkthrough from the person doing the work, two to five representative cases and current templates are often enough for an initial assessment. Anonymise customer information for this first review. Screenshots are taken only from approved systems.

AI can assist with drafting, organisation and consistency checks where agreed. Uncertain information is flagged, and your designated expert approves business-specific facts. Tool use and data handling are agreed before processing your material.

Acceptance criteria

How you assess the result

  • Can an appropriately briefed person follow the agreed routine case without additional verbal instructions?
  • Are required inputs, decision points and owners visible?
  • Have a routine case and an exception case been walked through?
  • Is ownership for future updates clear?
Scope & budget

Start with one defined task

STARTING BUDGETfrom €990

A small documentation pilot with up to ten total working hours. The actual scope is agreed after sample review; there is no fixed document count at this guide price.

Setup, coordination, drafting and review all count toward the time budget. Guide prices exclude applicable taxes. Additional languages, licences, large research requirements, integrations and legal or specialist advice are separate. The written proposal confirms availability, milestones, review rounds and terms before work starts.

For ongoing updates, a recurring agreement can be discussed after the pilot. We assess the real workload and available capacity before promising monthly output.

Questions before commissioning

Practical answers

Do you provide ISO certification?

We can prepare agreed procedures and supporting documentation. This does not include certification, an audit or a statement of compliance with a standard.

What happens when the process changes?

A separate maintenance scope can cover revisions, version control and another walkthrough. Capacity and hours are agreed individually.

Will you automate the process too?

We first understand and document the workflow. Technical automation is a separate scope following a feasibility assessment.

Your next step

Let us define a useful first deliverable.

Describe the task, existing material and target date. We review fit and scope before proposing the work.
